How to Reduce My Mailbox Size in Outlook? Can Anybody Help me Out?

I am currently using Outlook 2010 with Google Apps sync, but from past few days Outlook has become very inactive. I would like to reduce mailbox size in Outlook 2010, which is currently set to 4 GB.
The problem is that the 1 & 2 GB option is grayed out or is not clickable. The only option which left is 4GB which is active. Can anybody help me to reduce my mailbox size to overcome the problems which I’m facing.

Even you can use or try Archiving method from Outlook, which removes all the old mails from your account as viewed in Outlook, & will easily manage the size of Outlook mailbox. It will also enable you to choose a lower limit in the near future.

I have read your query & want to suggest you 2 methods which can help you, as I was also stuck in the same situation & has tried it & found good results.
1. You can try Mailbox cleanup method to manage the size of mailbox
2. Or, you can move some of the messages to Personal FoldersBoth the methods are very efficient & can help reduce the mailbox size.
I tried using Mailbox Cleanup method but I don’t know why It’s consuming lots of time & after using this no changes has been observed. Even I tried to send my mailbox items to Personal folder but the size is huge and the changes are minor. Please suggest me what to do next.

Hi Eddie,
After performing all the possible methods you can try emptying your Deleted Items folder automatically.
Choose File >> Options >> Advance Tab. Then, from Outlook Exit option, check the empty deleted items folder while quitting from Outlook & then click OK to apply the changes.
You can even manually delete the messages by using Shift + Delete.
Apart from this you can also delete the attachments with respect to each mails. You can first save those attachments & then remove them from the original message.

Thanks for the suggestion. I tried doing this but my mails does not contain too much of attachments so doing this does not reflect any changes in the size of mailbox.

In such scenarios you can use any of the commercial Outlook splitter tools to break mailbox data into different size PST files. This will eradicate your problem related to mailbox size. You can Google the third party solutions as there are so many available nowadays.
If you are in search of a third party utility to reduce mailbox size of Outlook then you can use SysTools Split PST tool. The tool Split large PST File into Smaller Parts so that the PST files can be easily managed. As you have 4 GB PST file which is creating a problem so, you can split it up into two 2GB files using this tool. The tool also offers an additional feature to break the files according to year, date, size & folder. Use the software & please let me know if your problem gets solved.
Thank you so much, Lincoln! With this tool, I’m able to split my mailbox. This tool is very good & has helped me resolve my problem. Additionally, I split my emails according to date & now I can manage them with ease. I’m glad using this tool. Thanks once again friend for this suggestion.
