I have a 90 days’ retention policy for deleted emails in my organization. I have created a folder and saved mails over there where I have auto archive settings applied also. Now I want to recover those mails which were sent to me before 90 days & which I have too moved to a folder in Inbox? Any suggestions?
Regards
Lincoln
Hi Lincoln
Don’t mind but actually I want some more detailed information regarding this, can you please tell me some points: –
- Your auto archive setting is set to archive every less than 90 days’ mails?
- Have you checked your local PST or OST file?
- Did you check your deleted items or recoverable deleted item?
- To check deleted items: – Right click on Deleted Items > Select Recoverable Items.

Kerry MorrisHi Kerry,
Thanks for the reply but I don’t know how to check my local PST archive file? actually I tried but it popped up an error message. Any trick to skip the error and check local PST file.?Hi,
Well for any suggestions or solutions about the error, can you please tell me first that what kind of error message it showed on checking your local PST archive?
Hello dear,
I figured out the loop hole now, actually I have set an auto archive of 36 months instead of 36 days mistakenly which led to deletion of my emails because of the 90 days’ retention policy. I am afraid if the mails also got deleted from the server, if it so, are they permanently gone? How can I recover my mails?
Hi Lincoln
You can recover your mails only if they are under the retention period of server. I would like to confirm that to which server you are synced with, is it Exchange Server or any other server?
Not so sure about the server as the IT department of my organization will not provide me the server details. They also indicated me that my emails are gone permanently. kindly help me out of this crap please?
Now Lincoln you can only save your mails if you have an OST file stored locally at your system. OST file store the server data locally but you cannot directly access it in Outlook. Check for the OST file in your system.
You can find your OST location from here: – File > Account Settings > Data Files tab > Select the Data file account > Press Open File Location.

KerryHi
I have searched for the OST file and I found an OST file in my system, what should I do to access the server data, should I import the OST?
Hello Lincoln
Well I assume you have found the OST and OST holds your server data you might be your emails are stored in OST file, you can import the OST to Outlook. Try some easily available Third party tool, I am recommending you this one, it claims to recover OST and restores your mailbox completely.
Here is the link: – http://www.systoolsgroup.com/ost-recovery.html , I will not assure about the efficiency as I have not used it yet. But still you can take a chance to get your mails back.
Regards Kerry.
Thank you so much
I have visited the link and had a session with tech support. They assured me that it works and really I have got my mails back. It’s not a 100% recovery as some mails exceeded retention period but I have my recent mails saved. Thank you so much for the reference.
Thanks & Regards
LincolnMy pleasure dear. Hope your issue is finally resolved & won’t bother you further.
